Data extraction is ideal for processing batches of documents with similar structures, making it perfect for managing and sorting invoices, application forms, resumes, and reports
- If you are an HR professional, you can download a batch of resumes from a job-hunting website and use KDAN PDF Reader to process them into Excel.
- If you're managing financial records, you can import invoices or receipts into KDAN PDF Reader for Windows and export them as a list in a spreadsheet.
- Similarly, for medical or other types of reports, you can use the "Data Extract" feature to extract the information into a spreadsheet, making it easy to analyze.
Restrictions
This feature is available as part of the Document 365 AI+ and Document 365 AI+ & eSign subscription plans in KDAN PDF Reader for Windows. You can start a free trial within the app. Please ensure you're using version 1.27.0 or later.
Optimize the Result
- Data extraction works best when analyzing files with similar structures.
- You can analyze up to 10 files at a time, and the total file size should be under 25 MB and 10 pages.

How to Extract Crucial Data from a PDF
- Open the document in KDAN PDF Reader.
- Click the "" button at the bottom left, or the “AI Data Extract" button in the left toolbar.
- Choose “Extract Crucial Data.”
- Import the files you wish to process.
- Select the pages you want to analyze and start extraction.
- Wait for the extraction to complete.
- You will find the spreadsheet in the “Data Extract” folder.
How to Extract Tables from a PDF
- Open the document in KDAN PDF Reader.
- Click the "" button at the bottom left, or the “AI Data Extract" button in the left toolbar.
- Choose “Extract Table.”
- Import the files you wish to process.
- Select the pages you want to analyze and start extraction.
- Wait for the extraction to complete.
- You will find the spreadsheet in the “Data Extract” folder.
